Exhibitor Participation Regulations

First of all, we would like to extend a warm welcome and sincere gratitude to your organization for participating in this exhibition actively! To ensure every exhibitor receives timely, thoughtful and satisfactory services and guarantee the complete success of the exhibition in good order, please carefully read the following participation procedures and complete relevant preparations in advance. Should you need any service information not covered herein, please feel free to contact us, and we will endeavor to provide satisfactory support. Please contact the Exhibition Service Team directly during the exhibition. Wish your company every success at this exhibition!

If you object to any clauses below, please contact the Organizing Committee and state your reasons; otherwise, it shall be deemed that the exhibitor has read and accepted all terms. The Organizer reserves the final right of interpretation.

Badge Collection

Each exhibitor shall assign designated staff to collect required badges upon registration. The following documents must be submitted for check-in:

a) Copy of the Exhibition Participation Contract;

b) Copy of booth fee remittance receipt;

c) Copy of the exhibitor’s business license.

(Note: Badges will only be issued after full payment of booth fees is completed.)

Badge Management

1. All badges shall be uniformly produced, issued, filed and strictly registered by the Finance Department during the exhibition. Badge holders shall comply with the usage specifications.

2. Badges are non-transferable and shall not be used by unauthorized persons. Any irregular badge will be confiscated immediately, and serious violations will be dealt with sternly.

3. All exhibitor personnel and corporate vehicles shall follow unified instructions from exhibition security staff throughout the event. Under special circumstances, security personnel reserve the right to restrict access of relevant persons and vehicles to the exhibition venue.

Booth Decoration

1. If exhibitors require additional facilities beyond standard booth configuration, the order confirmation and corresponding payment shall be remitted to Wenzhou Golden Eagle Media Co., Ltd. 10 days prior to move-in.

2. Services including trademark scanning, computer typesetting, inkjet printing, banner production, standard booth modification and special booth construction shall be arranged in advance with the Organizer with supporting materials provided.

Booth Allocation

1. Booths will be prioritized to applicants who register and settle payments earlier.

2.After receiving the completed Participation Contract, the Organizer will tentatively reserve the booth for the applicant.

3. If the applicant fails to settle payments within the time limit stipulated by the Organizer, the reserved booth will be cancelled. (Applicants shall pay 50% of total fees as deposit within 7 days after application, and the balance must be fully settled 30 days before opening. Applicants registering less than 30 days before opening shall pay the full amount in one lump sum.)

4. The Organizer reserves the right to adjust booth layout appropriately for smooth operation of the exhibition, and exhibitors shall raise no objection.

Exhibit Transportation

1. All expenses incurred in moving exhibits and materials in/out, removal, pickup, consignment and storage shall be borne solely by the exhibitor.

2. Exhibitors shall move exhibits into the venue in sequence within the designated time. The Organizer shall not be liable for delayed arrival of exhibits caused by the transport agent.

3. To guarantee exhibit safety, the Organizer reserves the right to appoint one or more exclusive transport agents and reject services from other transport providers.

4. Exhibitors shall arrange all insurance coverage for exhibits on their own.

5. Please contact the Organizer directly for any other special requirements.

6. Loading, unloading and transportation of exhibits are the sole responsibility of exhibitors, which must comply with national safety construction regulations and be operated by qualified licensed entities or individuals.

Cleaning Management

1. During move-in and move-out periods, the Organizer is responsible for cleaning standard booths and public areas. For raw-space special booths, the Organizer provides routine booth cleaning during exhibition days. During the show, exhibitors shall keep their booths tidy and dispose of rubbish into designated bins. Garbage collection and public area cleaning will be undertaken by the Organizer.

2. Cleaning Deposit for Raw-space Booths: Exhibitors of special booths must pay a cleaning deposit to the Organizer before construction. All construction waste must be cleared and removed from the booth within the move-out period; waste abandonment on-site is prohibited. After cleaning, exhibitors may visit the on-site service desk to invite cleaning supervisors for on-site confirmation and signature. The deposit can be refunded upon presentation of the confirmation slip. On-site verification must be completed within the move-out period; overdue applications will not be accepted and deposits will be forfeited.

Safety Regulations

1. The person-in-charge of each exhibitor shall be the fire safety responsible person for their respective booth, fulfilling fire safety obligations stipulated in the Fire Protection Law and taking responsibility for fire safety of the booth.

2. Booth layout plans and decoration materials shall be submitted to the Organizer for approval, and construction shall strictly follow approved requirements.

3. Non-combustible or flame-retardant materials are preferred for booth construction. Power supply and lighting equipment shall maintain a safe distance from combustibles to prevent accidents.

4. Hazardous goods are prohibited inside the exhibition hall. Open flame operations and smoking are banned. If open flame work is absolutely necessary, prior approval from the Organizer is required. Operations can only proceed under on-site supervision of exhibition staff with adequate fire-fighting preparations.

5. Upon near completion of move-in (usually one day before opening), the Organizer, together with relevant departments and public security & fire authorities, will organize a comprehensive safety inspection focusing on fire prevention. All identified hidden dangers must be rectified immediately.

6. Sufficient emergency evacuation passages shall be reserved in booth layout. Articles shall be stored at designated locations without random stacking.

7. Fire-fighting equipment must be well preserved. It is forbidden to block, occupy or repurpose fire hydrants and fire extinguishers during construction.

8. In case of emergency, please remain calm, follow unified instructions of exhibition staff and evacuate in order.

9. Any person discovering safety hazards shall notify the Organizer promptly. The Organizer reserves the right to penalize entities and individuals who deliberately violate the above safety rules, and pursue legal liabilities for serious consequences.

10. Electrical wiring must be carried out by certified electricians; persons without valid certificates are forbidden to conduct electrical connection work.

11. On-site construction contractors bear full responsibility for construction quality of their booths. Any safety accidents including booth collapse, personal injury and venue facility damage arising from defective design or construction must be firmly prevented.

Usage Rules

1. If the Organizer deems any exhibit or promotional material dangerous, illegal, immoral, indecent or inconsistent with exhibition standards, it reserves the right to remove such exhibits from the venue with all costs borne by the exhibitor.

2. The exhibitor warrants that exhibits, packages and promotional materials do not infringe any third-party rights including registered or unregistered trademarks, copyrights, patents, designs and trade names, and agrees to compensate infringed parties for all losses arising from intellectual property infringement.

3. Booth setup must be completed within the time limit specified by the Organizer. Overtime fees incurred for delayed construction shall be paid by the exhibitor.

4. During move-in, only delivery of exhibits into the hall is permitted; removal of exhibits is prohibited to guarantee safety.

5. No exhibits may be removed before the official closing unless written special approval is obtained from the Organizer. Repair or modification of exhibits can only be carried out after visitors leave, subject to approval and supervision by the Organizer.

6. Location and volume of audio-visual equipment and luminous installations shall not cause disturbance to other exhibitors and visitors.

7. Representatives of exhibitors shall collect exhibitor badges upon registration and wear them when entering and staying inside the venue. The Organizer may deny entry to personnel without valid badges. Lost badges must be reported to the  organizer for reissue, and all badges shall be returned after the exhibition.

8. If negligence of the exhibitor’s agent or staff causes fire or other losses to the venue, the exhibitor shall be held accountable and required to compensate for damages.

General Notes

1. Exhibitors shall conduct strict pre-review of all promotional materials played during the exhibition. No content irrelevant to the exhibition scope may be broadcast, and sound, light and electrical equipment shall not disturb visitors or other exhibitors.

2. Early booth dismantling during the exhibition is prohibited; otherwise the Organizer reserves the right to impose severe penalties.

3. If exhibitors fail to settle all payable fees, the Organizer may refuse venue access or detain exhibits, against which the exhibitor shall raise no objection.

4. Booths are leased exclusively to the registered exhibitor and cannot be sublet or shared with third parties.

5. Exhibition space is rented to exhibitors for business promotion only during the exhibition period. All booth layout and space usage must comply with Organizer requirements. Otherwise the Organizer reserves the right to clear the booth at the exhibitor’s expense. Except as explicitly stated in these regulations, no exhibitor shall claim refund of booth rent and other fees already paid.

Prohibited Activities

1. Distributing promotional brochures and catalogues of non-participating companies within booths is strictly forbidden. Once discovered, the exhibitor’s qualification will be revoked, relevant personnel held accountable and compensation claimed for losses.

2. All exhibits must comply with Chinese laws; counterfeit, substandard and illegal products are banned from display.

3. Distributing association materials or materials of non-exhibiting entities is prohibited. The Organizer reserves the right to confiscate materials or revoke exhibitor qualification.

4. No advertising demonstrations, promotional activities or poster posting are allowed in public areas.

5. Distributing leaflets in public areas is prohibited; materials may be confiscated by the Organizer.

6. Exhibitors shall not disclose confidential business information provided by the Organizer.

Dismantling Arrangement

1. Packing and dismantling commences at 14:00 on the final exhibition day. All dismantling arrangements will be coordinated uniformly by the Exhibition Service Team of the Organizing Committee.

2. Vehicles for exhibit collection can enter the venue after 15:30 and must comply with traffic management rules. Drivers must stay with vehicles. Random parking and traffic obstruction are subject to penalties.

3. Each exhibitor shall arrange on-site staff to guard booths and secure personal belongings during dismantling to prevent loss.

4. Venue facilities must be protected. Taking away or damaging facilities is forbidden. Violators shall pay compensation at original price and bear corresponding legal liabilities.

5. All self-mounted promotional materials inside booths shall be removed and cleaned by the exhibitor.

6. Display samples shall in principle be fully removed on the same day. If temporary storage or consignment is required, please contact the Exhibition Service Team one day in advance to rent storage space or complete consignment procedures.

7. All exhibits must be removed in accordance with designated procedures and deadlines upon exhibition closure. The Organizer reserves the right to dispose of exhibits left beyond the removal deadline.

Special Reminders

1. Visitor volume will be high during the exhibition. All exhibitors are reminded to properly safeguard personal belongings and exhibits. The Organizing Committee shall not be liable for any losses arising from inadequate custody of articles by exhibitors during move-in, exhibition and move-out periods. This clause shall not be notified separately.

2. All economic and legal liabilities for construction accidents, personal injury and property damage during move-in, exhibition and move-out shall not be borne by the Host, but by the main contractor or booth builder. All exhibitors and construction teams must pay close attention to construction safety.

3. Smoking inside the exhibition hall is prohibited. It is forbidden to arbitrarily relocate fire-fighting facilities or damage fire safety signs on the ground.

Limitation of Liability of the Organizer

The venue provider, exhibition construction company, exhibit transport agent and conference service company engaged for this exhibition are independent third parties. The Exhibition Service Team will assist exhibitors in handling disputes arising from liabilities of these third parties, but shall not bear compensation liabilities.

Termination of Exhibition Rights

1. The Organizer reserves the right to terminate an exhibitor’s participation if the exhibitor violates these participation regulations.

2. If disputes between an exhibitor and other parties disrupt other exhibitors during the exhibition, the Organizer may terminate the exhibitor’s exhibition right.

Postponement or Cancellation of Exhibition

1. In case of special circumstances (including but not limited to natural disasters, government actions, official policies, adverse weather, force majeure and other events) leading to postponement or shortened duration of the exhibition, exhibitors shall abide by arrangements made by the Organizer or relevant authorities. If exhibitors refuse to comply, the Organizer reserves the right to pursue legal liabilities and forfeit collected booth fees.

2. If the exhibition is cancelled due to special circumstances (including but not limited to natural disasters, government actions, official policies, adverse weather, force majeure and other events), the Organizer shall not compensate for any losses incurred by exhibitors. Prepaid booth fees will be refunded without interest.
